Which plan fits how my clinic bills?

Cash Practice is $39/month and includes the complete clinic platform without insurance billing. Insurance Practice is $69/month and adds eligibility, claim creation and submission, payer responses, ERA, adjustments, balances, and follow-up.

What happens after I create a Cash account?

Create the account without entering payment information, verify the email address, and complete clinic setup. Before entering real patient information or uploading migration files containing PHI, request your clinic’s BAA and complete the required privacy and security setup. Supported migration exports are scoped with the clinic separately.

How do I start Insurance setup?

Create an Insurance account, verify your email, and set up the clinic workspace. Then enter your billing identity, providers, payers, and fee schedule and follow the in-app payer-enrollment checklist. Before entering real patient information, request your clinic’s BAA and complete the required privacy and security setup. Workspace setup can proceed while external enrollment reviews are pending; electronic claims remain blocked until the required approval is recorded.

What other charges or provisioning requirements apply?

On the Insurance Practice plan, the first 25 claims or ERAs in a monthly billing cycle are included. Each additional claim or ERA is $0.49. Credit-card transaction fees apply when patients pay invoices by card. Fax, invoice payments, eligibility, claims, and ERA may require setup, verification, provisioning, or payer enrollment before use.

Is there a contract or cancellation fee?

No. The subscription is month to month. Cancel at any time; the subscription and account access continue through the end of the current renewal period.

Clinical and operating workflow

How does a visit become a claim or invoice?

The appointment, patient, clinician-reviewed note, and service details stay connected. Authorized clinic users can prepare the appropriate cash invoice or insurance claim after the clinical work is complete. Claim submission remains subject to billing review, payer requirements, and any required enrollment.

Does Intelligent Assist act without review?

No. Intelligent Assist drafts, organizes, or previews work. Clinicians edit and sign notes. Authorized clinic users review claims, faxes, messages, and operational changes. Destructive calendar actions require explicit confirmation.

Security and data

Is a BAA available?

Yes. A BAA is available for clinics that need one as part of security and compliance setup. Request the BAA through the contact page before transferring PHI.

Can I export my clinic data?

Supported exports keep clinic records portable. Confirm the required data, format, scope, and delivery process during setup or through authenticated support.

Migration and setup

What does white-glove migration cover?

The team scopes supported exports of files, patient records, and claim history from the current system with the clinic. The service is included with no separate migration fee; source access, available formats, data quality, volume, and cutover details determine the final scope and timing.

Practice fit and access

Who is the product for?

Intelligent Clinic OS is built for outpatient rehab organizations from solo providers and growing teams to multi-location clinics, including mobile, cash-based, insurance-based, and hybrid practices. Current built-in clinical examples and AI defaults are PT-focused; confirm specialty-specific templates during setup.

What mobile access is available?

The web application is responsive for phone-sized workflows. A staff-first native iOS application is also under active development; confirm current availability and supported workflows during setup.
